Under Article 30 of the Personal Information Protection Act, the Seoul Equestrian Federation sets out below the personal information processed on the Guri Riding Club website and the measures taken to protect it.
Effective date: 6 October 2026
1. Purposes of processing
The Federation processes personal information only for the following purposes. If a purpose changes, it takes the necessary steps, such as obtaining prior consent.
- Checking booking and consultation requests and contacting applicants to confirm them
- Assigning a horse and coach suited to the rider's build and experience
- Consultation about livery of owned horses
2. Personal information processed
| Category | Items | How collected |
|---|---|---|
| Applicant | Name, mobile phone number, email address (optional) | Website booking form |
| Rider | Name, age, height, weight, riding experience | Website booking form |
| Livery | Horse's name, age, breed, preferred arrival date | Website booking form |
| Common | Preferred schedule, requests, date and time of application, reference number | Website booking form; generated automatically |
Applicants are asked not to include sensitive information, such as health information beyond what is needed for riding, in their requests. The website does not offer membership registration.
3. Processing and retention period
Booking request information is kept for 1 year from the date of application and is deleted automatically each day once that period has passed. If the data subject asks for deletion before then, it is deleted without delay. Where other laws require information to be kept, it is kept for the period they require.
4. Provision to third parties
The Federation does not provide personal information to third parties except in the cases set out in Articles 17 and 18 of the Personal Information Protection Act, such as with the data subject's consent or where a law specifically provides for it.
5. Outsourcing of processing
| Processor | Outsourced task |
|---|---|
| Vercel Inc. | Website hosting; storage of booking request information (cloud storage) |
The Federation sets out personal information protection terms in the outsourcing contract and manages and supervises the processor to ensure it handles personal information securely. If the processor or the outsourced tasks change, this is announced through this policy.
6. Overseas transfer
For website operation and storage of booking request information, the Federation outsources the processing (storage) of personal information to an overseas business as follows. The transfer is made by disclosure in this policy under Article 28-8(1)(3) of the Personal Information Protection Act.
| Recipient | Vercel Inc. |
|---|---|
| Country of transfer | United States (location of the business). Servers that store and process booking request information are located in the Seoul region, Republic of Korea. |
| Items transferred | All booking request information listed in section 2 |
| Timing and method | Sent over an encrypted network (HTTPS) when the form is submitted |
| Purpose | Website hosting; storage of booking request information |
| Retention and use period | As in section 3 (1 year from the date of application) |
If you do not want your information transferred overseas, you may make a booking by contacting the club directly instead of using the website form.
7. Destruction
Personal information is destroyed without delay once the retention period has passed or the purpose of processing has been achieved. Electronic files are deleted in a way that cannot be recovered, and paper documents are shredded or incinerated.
8. Personal information of children under 14
Personal information of children under 14 is accepted only when the legal representative (guardian) applies directly, and the legal representative's consent is obtained at that time. The Federation also collects the legal representative's name and contact details to confirm consent.
9. Rights of data subjects and how to exercise them
- Data subjects may at any time request access to, correction, deletion or suspension of processing of their personal information, and may withdraw consent.
- Requests made via the inquiry form (book.html) together with the reference number are dealt with without delay.
- Requests may also be made through a legal representative or an authorised person. In that case, documents confirming the authorisation may be requested.
10. Security measures
- Booking request information is kept in private storage that cannot be accessed from outside.
- Requests can be viewed only by designated staff holding an administrator authentication key, and the number of such staff is kept to a minimum.
- All transmission is encrypted with HTTPS.
- Information whose retention period has passed is deleted automatically.
11. Automatic collection tools and how to refuse them
The website does not use cookies or visitor behaviour analytics tools. To count the number of inquiries made through the website, it records only the time a call button was pressed and the name of that page, and does not store any information that identifies an individual (such as phone number or IP address) with it. These records are deleted automatically after 1 year. Only whether "Don't show again today" was selected on an event pop-up is stored in the user's browser, and this can be cleared at any time in the browser settings. The hosting provider may keep access logs (IP address, access time and so on) for a certain period for security and incident response.
